Calendar: Tasks and Projects

Tasks:

The Compliance Calendar ‘Task’ view provides oversight of all the past, present and future tasks undertaken in the software. If any Report or Register within Leo has a due date, it will appear in the Calendar ‘Task’ tab to effectively manage the regulatory workload. By default, the Tasks are displayed in a tabular view.

From the perspective of the Compliance Officer, it grants complete oversight of all their employees’ activities which can help to deliver reports on time and to allocate resources effectively.

On the right-hand side, you can switch to a calendar view instead.

In the table, the type of task shows if it is a Report, Register or a Custom task (created independently of a report or register).

If you click on a task it will take you to the Report, or it will open the Register and Task entry window.

In the calendar view you will see all reports, registers and task, and by clicking on them you will see a summary, including the due date, assignee, reviewer, type of task, etc.

In addition to calendar entries for reports and registers, the user can create custom tasks. Click the ‘new task’ button to open this window:

  • Task name: The name of the task.
  • Due Date: Select a due date for the task. This will be categorised as upcoming or overdue within the Calendar.
  • Assigned to: Open the drop-down to see all the users that are within the client portal. Once chosen and confirmed, the user selected will receive an email notification that a task has been assigned to them.
  • Description: This field allows users to provide more information or notes related to the task, for example, if a compliance manager is setting up this task for an employee, they may provide additional information to help aid in the completion of this document.
  • Frequency: Choose from a range of frequency options to auto-renew this task if it needs to re-occur. For example, a firm’s annual regulatory reporting could be set to re-occur annually.
  • Due on: Choose when the task is due to be completed.
  • Followers: Each task a single assignee, but it can be made visible (followed) by as many other users as you like.
  • Project: You can create a new task and assign them to projects that already exist. 
  • Tags: You can assign tags to the task to organise or identify them quickly.
  • Reminder Options: To aid with project management users can create additional reminder dates which will send an email to the assigned user that the task deadline is upcoming.
  • Attachment Tab: You can attach any necessary files that relate to the task.

Projects:

Once you have set up your tasks, you have the option to add them to a project.

Projects allow Compliance Management within your firm to organise tasks into groups and assign them to various members of the team.

This gives you the ability to create different projects which act as containers for tasks. The Projects are viewed in their own table that can allow the tasks to be ordered by the due date, task name, completed on, type and source.

Projects can be created in the same way that tasks can be created in the Calendar. Within the Project view, there is a ‘New Project’ button, selecting this will cause the New Project form to appear in a new window.

Once the project has been set up, you can create a ‘new task’ which is then added to the calendar and ‘edit project’ which allows you to update the information input about this project such as the project’s name, due date, project owner, description and the project members (those who can access the project).
